Overview

Purpose:  The Event Coordinator (or producer, as we say internally) is responsible for creating an amazing experience by coordinating all the necessary details to create a truly memorable event!  This is a year round position with many skill areas and opportunities to learn.  This role requires great attention to detail, patience, flexibility and the ability to multitask in a fast paced environment while maintaining a calm, professional demeanor at all times.    

Description:  Full time, Hourly.  Weekends and flexible schedule required.   

Pay Rate:  $17 per hour

Producers are eligible to participate in the Cornman Farms hourly tip pool along with porters, porter coaches, concierges, bartender/servers and administrative assistants.

 

Reports to: Managing Partner

Overall Responsibilities 

  • Assists Guests with inquiries – phone, email and in-person as needed
  • Provides Guest tours and actively works to achieve bookings and sales goals
  • Creates, maintains and improves task card systems and standard operating procedures (SOPs) for office related work
  • Participates in open book management by owning event revenue related lines on Cornman’s P&L (profit and loss) sheet; includes forecasting the annual budget and keeping costs in budget
  • Attends meetings and Staff huddles (meetings)
  • Assists with creating and implementing systems and processes
  • Identifies and implements process improvements to increase efficiency and accuracy through the planning process and event execution
  • Works closely and regularly communicates with other Zingerman’s business event staff working on events (caterers, etc.)
  • Gives exceptional service to all Guests at our events
  • Conducts all business in accordance with Zingerman’s Guiding Principles and Bottom Lines
  • Completes Training Passport within the stated timeframes and continues to live the Training Compact

Tiny Weddings, Elopements & Intimate Weddings Responsibilities

  • Books and oversees on the day of all Intimate Wedding vendors based on couple’s vision and budget, from officiant to florist to photographer
  • Actively sells package upgrades
  • Acts as full wedding planner for intimate weddings, including:
    • Over-see time management of the entire event (ceremony, processional, recessional, cocktail hour transition, grand entrance, speeches, dancing, cake cutting, bouquet toss, toasts, etc.)
    • Prompt the MC and vendors
    • Troubleshoot and ensure quality control of set up, including personalized details and décor
    • Run processional/recessional and music for ceremony and first dances

Bespoke Weddings Responsibilities

  • Supports the Guest in all aspects needed for planning their event such as:
    • Vendor Coordination
    • Catering Referrals
    • Beverage selection
    • Rentals, table/chair set-up and day of event assistance
  • Creates and maintains event day details, workable floor plans and rental documents and communicates these timely with other Cornman Farms Events Staff as needed
  • Provides day-of support for events – primarily as client support 
  • Explains the rental items and options that Cornman Farms offers
  • Discusses layout options create floor plans events
  • Acts as liaison between Zingerman’s Bakehouse and our catering partners
  • Provides a written cost estimate and actively sells package upgrades

Corporate Events, Private Dining, Farmhand Programs & Offsite Catering Responsibilities

  • Supports the Guest in all aspects needed for planning their event such as vendor coordination, catering referrals/menus for Cornman Farms catered events, beverages, rentals, table/chair set-up and day of event assistance audio visual
  • Creates and maintains event day details, workable floor plans and rental documents and communicates these timely with other Cornman Farms Events Staff as needed
  • Provides day-of support for events – primarily as client support 

Other Functions:

  • May act as administrative assistant, concierge, server or event lead or assist with cleaning when necessary
  • Assists with rental and linen ordering, tracking the deliveries and accurate receiving of these items
  • Other duties as assigned by Cornman Farms Leadership Team

The Success Patterns for this position are:

  • Must be able to make decisions quickly and prioritize with consideration for guests and staff
  • Works independently and is reviewed infrequently with minimal supervision
  • Self-supervising within the guidance and expectations of divisional management
  • Has strong people management and leadership skills  
  • Communicates with clarity and demonstrate excellence in approach to work and people activities  
  • Has a reputation for giving great service to guests and co-workers
  • Minimum 2-3 years of experience in professional event planning or coordination
  • Minimum 2-3 years experience in a customer service role
  • Experience working in an event or restaurant environment is preferred
  • Strong computer skills
  • Strong skills in data entry and Google Applications
  • Strong and effective written and verbal communication skills
  • Great problem solving skills, especially in the moment
  • Has a reputation for excellent relationships with co-workers
  • Can safely lift and carry 30 pounds and move product around the venue spaces
